Hi, welcome to Quoox University.
In this video, I’m gonna show you how to create a monthly membership, and we’re gonna do that by first of all, logging into our Quoox platform. So we’re gonna go to my.quoox.com. Mine’s logged me straight in, so we’re on the dashboard. We’re gonna go to the menu on the left-hand side, and we’re gonna navigate to the Settings area. This will bring up a secondary menu and you’ll see that we’ve got Credit Packs and Membership Plans.
We always need a credit pack associated with a membership, so I’m gonna start there and we’ll walk through that.
So we’re gonna click into Credit Packs, we’re gonna click Add, and then we’re gonna go through the process. So we’re gonna give each credit pack a name, so for this example, let’s say they get 20 credits per month. And then what we can do is work our way through.
So we know that the number of credits going to be issued is 20. If there’s a purchase cost that you want associated with it, you can add that here, but for today’s demo, I’m gonna have no purchase cost, which means no tax. And then when do the credits become valid? So you have two options here, you can either have them valid immediately, so as soon as the membership has been activated for a member or from the first use, so from their first booking essentially. I’m gonna leave it as immediate, and then we can decide how long the credits are valid for. So we have different options here, we have no expiry, end of the month and a fixed period. So for this example, I’m going to use a fixed period. Now automatically specifies a duration of 30 days. However, I’m going to amend it to 31 because you might’ve seen on our previous video, if you’ve been watching through the course that there’s 30 days, have September, April, June, and November, all the rest have 31. So that will cover off every month, essentially, even the short ones, and then at least that way, there’s no months where there’s no credits.
Then we’re gonna go in and select which sessions the credits are valid for and which venues they can be used at. Now, you might have a membership and credit pack that covers all venues and all sessions, it might be that you have specific credit packs or memberships offerings for certain venues, for example.
For the sake of this demo, I’m gonna say that it’s valid for any session and for any venue, but you can see here if I untick that and decide I just want it for Chelmsford I can make that decision as well. Then we’re gonna click on Save. We’ll then see that added to our list of credit packs. So now that’s been created, we’re gonna go into our Membership Plans on the left-hand side, in that secondary menu. So once we’ve clicked in here, we’re going to add a new membership.
So what we have now is an overview tab where we can define what the membership is, we can add a description, which makes it clear for our members when signing up or future members, and then we have some other options that we’ll go through in a second. So you might wanna give it a fancy name, but for the sake of setting up and for this demo, I’m going to call it what I call the Credit Pack so that when it comes to adding them together, I know what I’m looking for. So I’m gonna call this 20 sessions a month.
Now a description is great because it means that people, like I say, will know what they’re buying, it might be that they get 20 credits per month, but also with 20 credits, they get open gym access and pool and spa, if you’ve got a sauna and a steam room, for example. We’re gonna have it as a membership and then we can select when the membership will start. So again, we have different options here, we have immediate, upon first booking, the first of the next month or on a specified date. Now I can select anyone, you can select anyone that works for you as well.
We can say that the membership commences immediately, or you could do it so that it’s on the first of next month, for example, if that fits with your current payment plans, but I’m going to put this immediate. We then have four tick box options at the bottom.
So we’ve got, this membership provides unlimited session access, I’d be careful with this button mainly because when you’ve watched my creating a session video you’ll understand that a session could be anything from a pop-up, a consultation, it might be a longer course boot camp, for example, maybe you put massages in as a session to be able to book for your schedule. Any session that you have created that will be attributed to this membership will be unlimited if you tick that button. So if you need them to be separated, I’d leave that blank.
You’ve got a trial membership, so you can take that if it is a trial, is limited to one per member, so essentially if I was signing up, I ca only have one of these memberships attributed to me and, or is private. So that means that no one can see it until you release it. For the sake of this demo, I’m gonna leave them all blank and unticked and I’m gonna click save. So now you’ll see that our membership has been successfully created, which is great.
So we now have two additional tabs in addition to our overview page. So we’ve got our settings that we’ve already saved on the overview.
Next, we can go into our payment plans. So you’ll see, because it’s a new membership, we don’t have a payment plan attributed to it, so we’re gonna go ahead and add one. And in here we can call what the payment plan would be named, so we could say, 20 credits monthly plan, for example.
Again, you can add a description for your customers, what you might wanna do is copy and paste one throughout so it’s all the same, obviously saves you a bit of time as well. And then we go into our other settings here. So what is the subscription issue period, and how many periods are in the membership? Now, this is specific to how often the credits get distributed to the member. So if it’s monthly, it would be every one month and you have the option of days, weeks, or months in the Periods option. And let’s say it’s a 12 month commitment that they’ve signed up for, it could be repeated 12 times.
Then we can specify the joining fee. So let’s say you’re feeling generous and you’re gonna give them a no joining fee, which means there’s no tax attributed to it, maybe it’s a January offer for example, or it could be that it’s a new membership and there is a joining fee attributed to it, maybe it’s 35.99 and then you’d have the tax attributed to that as well. Then we specify what the recurring fee is, so this is the monthly fee that will come out on the payment date that we specified below, and we’ll go through that in a second. So for 20 credits a month, it might be that it costs 70 pounds. And then you’ll put how much tax is included in that.
Now we come to how often should the recurring payment be taken? So we have four options here, we’ve got once, so maybe it’s a one-off membership and you’d amend your information above to rectify that or to show that, it may be, if you’re lucky enough to have members that can afford to pay 70 pounds daily, that is a daily membership, or we have weekly, where you can recur every one week on specific days as well, or we have the monthly option. So obviously as this is a monthly membership that we’re creating, we’re gonna stick with this. And then we have three subsequent options within that. So we have to recur every month on or close to the payment anniversary, to recur every one month on a specific day, so a lot of our facilities and customers have the first or the 15th, for example, or it can recur every one month on the first, second, third, fourth, or last occurrence of a specific day. So we’ve given you as much flexibility here, as you probably need to make sure that it aligns with your current payment plans for your existing and hopefully new members. So for the sake of this, I’m going to do, that it recurs every one month on the first day of each month, so on the first of each month.
Now what we have at the bottom has two more options. So again, we can make this private, this payment plan, which we don’t wanna do, so I’m gonna leave that blank. And we can select to auto renew it expiry. So essentially what that means is after 12 months, the whole membership and sort of payment plan will renew on the 12th month, and then you’ll start again for another 12 months. If you want it to end and then for them to sign up, maybe you’ll have new memberships by then, you can untick that, but I’m gonna leave that ticked.
And then we’re gonna click Save.
Okay, so what we’ve done so far is we’ve created a credit pack for 20 credits per month, that will be distributed monthly, we’ve created a membership and then we’ve added a payment plan. So now what we need to do is tie it all together.
So what you’ll see is we have our third tab here, which is Deliverables, we’re gonna click into that. Now within this, you have lots of different things that you can add. I have got separate, videos throughout the course on what they are and how to add them., so please go ahead and watch those, but for the sake of this demo, we’re gonna stick with the credit pack. So there’s no credit pack attributed because this is a new membership, so we’re gonna go ahead and click Add Credit Pack. And then the beauty of this is it doesn’t open any other pop-ups, it comes straight up into our Deliverables tab and we can select a Credit Pack from the dropdown.
Here’s where you’ll see the beauty of naming it, what you need it, because it comes up with a dropdown and if you’ve got lots of credit packs and memberships, this is really useful and saves you getting confused. So I know that this is our 20 credits a month plan, so I’m going to add that credit pack. You can add as many or as little as you like to the membership as well, but obviously I want my members to have one. So I’m gonna click the tick under Actions, and then I’m gonna scroll down and I’m gonna click Save to save that change.
Now that I’ve done that we’ve completed the membership because it’s brought us back to our listings. So essentially that is how you create a monthly membership with adding the credit pack and a payment plan to your members.
