The Session Analysis tab of KPIs & Metrics provides an analysis of your session usage with filter settings for date range; venue; and session type.
For the venue filter, the filter is based upon the venue at which the session is scheduled.
Why is this useful?
Most facility owners have a pretty good gauge on which their popular and busy sessions are, but it is often possible that there is demand that is not being seen.
Furthermore, it might be that there are opportunities for moving sessions around, increasing member satisfaction and even making more money (or saving costs).
By looking at the “Average pre-book time”, it gives some insight into how “popular” a session might be – if people are booking them well in advance.
The base data
All calculations in the session analysis are made using the date range provided; and the selected venue (where applicable).
If a session type is selected, this filter is also applied and additional analysis data is provided.
The base criteria for the sessions included in the calculations are:
- The session has not been cancelled.
- The session has not been deleted.
- The session is of type “session”; “popup”; or “course”. Consultations and marketing sessions are excluded from the session analysis.
- The session’s start time is scheduled to fall within the specified date range.
- The session’s venue matches that selected (where applicable)
- The session type matches that selected (where applicable)
- The booked count is inclusive, meaning it also includes members who were “no show”.
- The booked count does not include members who cancelled (or were cancelled by staff)
- The average pre-book time excludes auto-bookings as these adversely skew the data.
The pre-book time is the average time before the session start time that the booking was made.
Note
If you have set a high capacity for a session, this will reduce the meaningfulness of your % filled metrics. Whilst your online session might have a capacity of 500 or more, it might be more valuable to set a lower capacity, say 10% percentage higher than your maximum attendance.
The statistics
Session summary
The session summary provides a high-level summary of session activity, broken down by session type.
For each session type, the information (with filters applied) displayed comprises:
- Session name – the name of the session.
- Total sessions – the total number of sessions scheduled during the period.
- Total capacity – the total capacity for the sessions scheduled during the period.
- Total bookings – the total number of bookings received for the sessions during the period. This excludes cancellations.
- Total % filled – the total percentage of capacity filled over the period.
- Average % filled – the average percentage of bookings vs capacity for the sessions over the period. Note, this is subtly different to “total % filled”.
- Left on wait list – those number of members who remained on the wait list after the session had passed.
- Auto booked – the number of session bookings that were created by the auto-book process.
- Average pre-book time – excluding auto-bookings, the average time between the session booking and the session start.
The greater this figure, the earlier member’s are booking for the session.
Sessions (by day of week)
This table breaks down the session attendance by the day of week.
For each weekday, the information (with filters applied) displayed comprises:
- Day of week – the day of the week upon which the session start time occurs.
- Total sessions – the total number of sessions scheduled during the period.
- Total capacity – the total capacity for the sessions scheduled during the period.
- Total bookings – the total number of bookings received for the sessions during the period. This excludes cancellations.
- Total % filled – the total percentage of capacity filled over the period.
- Left on wait list – those number of members who remained on the wait list after the session had passed.
- Auto booked – the number of session bookings that were created by the auto-book process.
- Average pre-book time – excluding auto-bookings, the average time between the session booking and the session start.
The greater this figure, the earlier member’s are booking for the session.
Sessions (by start time)
This table analyses the session attendance and demand versus the session start time.
For each start time, the information (with filters applied) displayed comprises:
- Start time – the start time of the session.
- Total sessions – the total number of sessions scheduled during the period.
- Total capacity – the total capacity for the sessions scheduled during the period.
- Total bookings – the total number of bookings received for the sessions during the period. This excludes cancellations.
- Total % filled – the total percentage of capacity filled over the period.
- Left on wait list – those number of members who remained on the wait list after the session had passed.
- Auto booked – the number of session bookings that were created by the auto-book process.
- Average pre-book time – excluding auto-bookings, the average time between the session booking and the session start.

Sessions (by lead coach)
This table analyses the session attendance and demand versus the lead coach.
For each lead coach, the information (with filters applied) displayed comprises:
- Lead coach – the lead coach assigned to the session.
- Total sessions – the total number of sessions scheduled during the period.
- Total capacity – the total capacity for the sessions scheduled during the period.
- Total bookings – the total number of bookings received for the sessions during the period. This excludes cancellations.
- Total % filled – the total percentage of capacity filled over the period.
- Left on wait list – those number of members who remained on the wait list after the session had passed.
- Auto booked – the number of session bookings that were created by the auto-book process.
- Average pre-book time – excluding auto-bookings, the average time between the session booking and the session start.
