From time to time, you may find that you need to make adjustments to a member’s membership recurring charges. This might arise from a price change or an adjustment due to a promotion or other reason. Maybe you might want to give a member a free month before returning them to their previous pricing
Quoox Ultimate allows you to schedule adjustments to the recurring price of a member’s membership. These adjustments then take effect automatically on the date upon which they are scheduled.
Accessing/Reviewing scheduled or actioned membership price changes
To review the price changes scheduled or those that have been actioned, select the Scheduled cost adjustments option from the Actions dropdown menu for a given membership.
This will open the Scheduled Cost Adjustments listing page, as shown below.
The listing will show all pending or scheduled cost changes. You can optionally include cost changes that have already been actioned by checking the Show actioned check box.
The cost changes are listed chronologically, with the earliest first.
The information displayed for each entry includes:
- Scheduled date – the date upon which the price change is scheduled to take effect
- New cost – the new cost to be applied on the given date. If the “PP” symbol is displayed, this cost will be taken from the associated membership payment plan at the time that the cost change is applied.
- Status – Scheduled / Pending / Actioned.
- Scheduled: The price change is scheduled and has not yet been applied.
- Pending: The price change is scheduled and is due but has not yet been applied. This is usually because of a pending payment that has not yet been completed.
- Actioned: The price change has been applied to the recurring membership price.
It is possible to delete a scheduled/pending price change by clicking the icon next to the entry.
Adding a new scheduled price change
To add a new scheduled change to the recurring membership price, click the Add button. A new editable row will be added to the list, for you to complete:
- Select or enter the date upon which you wish to apply the price change.
You can only enter dates on or after the next day. - Either enter the new cost to apply on the entered date, or leave the cost blank if you wish to apply the price set against the corresponding membership plan at the point the change is scheduled.
Click the icon to save the change, or to cancel.
Tips and considerations
- A scheduled price change will not be applied whilst there are pending or overdue payments. The price change will only be applied when the membership is paid up-to-date. This is to ensure that the member is charged the correct amount.
- Price changes are applied to a membership at the start of every day and just before the overnight membership charge cycle occurs.
- If a price change is scheduled to occur on the same date as a membership payment, the price change will occur prior to the payment. Thus the payment will be of the new price.
- Leaving the new cost box blank will have Quoox apply the corresponding Membership Plan pricing to the membership as configured at the point the change occurs.
- It is recommended that you schedule price changes to happen a day or two before or after a membership payment, so as to ensure you always get the result you intended and that the scheduling/charging is not subject to timing issues.
- Scheduled changes to membership pricing are recorded in the event log for review and audit purposes.
- If a member uses a membership discount code as part of a campaign during membership signup, and if that discount code reverts the pricing of the membership at any given point, this is achieved by Quoox creating an automatic scheduled price change entry. This entry may be amended or removed to override the default behaviour of the discount code.
