As a general rule, it is recommended that enquiries be formally recorded as leads in the Quoox database. This gives much greater scope for tracking and opens up a number of related functions.
Recording ad hoc enquiries
If, for whatever reason, you do not wish to create a lead within Quoox and simply wish to record an ad hoc enquiry, you may do so via the dashboard widget.
If you are unable to see the widget in your dashboard, click the Reset Layout button at the top of the dashboard. This will reset your dashboard widgets, and the “log an enquiry” widget should be visible on the right hand side. You can then move the widgets around as you wish.
To record an ad hoc enquiry, you should select the source. The enquiry date will be pre-filled, but may be overridden if you are recording a past enquiry. Optional notes may be added.
Care should be taken not to add duplicate enquiries, and this will result in mis-counts in the KPIs.
If you wish to instead add the enquiry as a lead (the suggested method), you can click the New Lead button to create a new lead record.
Adding/editing enquiry sources
You may add or edit enquiry sources via the Settings > Lists and Groups area. The list is called “Enquiry Sources”.
Several common, pre-defined sources are already provided. You may wish to add further sources, such as “Facebook” etc., or whatever is relevant for your business.
Lead sources
By default, a lead is assigned a source when they are created. Prior to 16 August 2020, all leads have the enquiry source “Unknown”.
It is possible to assign a lead a source by editing the lead record, and assigning the desired source.
Lead sources are derived from the campaign against which they originate. A campaign may be assigned a source type, and defaults to “campaign”.
If a campaign hook is used, the lead defaults to the campaign hook source. A hook may be assigned a source type, and defaults to “campaign”.
Assigning a source to a campaign
You may assign a source to your campaign, for when a web hook is not used. By default, the source will be “campaign”.
To assign a source, edit the campaign and select the desired type from the drop-down list.
Note: Updating a campaign source does not update those leads who have already been created.
