In this video, we’re gonna cover off how you create a consultation session and the differences between the regular sessions that you might be creating for your schedule.
So let’s start by going to my.quoox.com. We’re gonna log in as always.
So we’re gonna go across to the Main Menu and we’re gonna go into Settings and we’re gonna go Sessions and Events.
So I mentioned this on my previous video round how to create a marketing session. If you haven’t created sessions before, to get a full description of how this works and what they mean, please go ahead and watch “Creating a Session and a Schedule” video back in onboarding. Otherwise, stick with me and I’ll show you how to create a Consultation Session and what the differences is in terms of how they work.
The majority is the same, similar to Marketing, but there are a few different things that work differently.
Chapter 1: Creating A Session
So you’re gonna click Add a Session and you’ll see that you’ve got the drop down of all the different session types.
And we’re gonna click on Consultation.
Now, if you’ve created a session previously and you followed the onboarding, you’ll be familiar with lots of the different bits of information you need to fill in here, but for those who haven’t done a consultation one yet, let’s go through it quickly together now.
So you might create a specific consultation session for something like a progress review, maybe it’s a nutritional advice consultation. It could be an initial consultation for when they join your facility. Those kinds of things are where you’d probably use this session type.
So let’s say it’s a Progress Review.
You can add a description so that once it’s been booked and is in your members app, they can see what exactly that’s gonna be covered. So that’s up to you what you put in there (I’m not gonna try and think of things and waste your time on this video doing it!).
As always, you can select how long the session is for, whether it’s a whole day, bit intense, up to you, an hour or maybe 45 minutes, for example. You can change that.
If for any reason you want to use what level this is, you can, but I’m gonna leave that as not set.
And then you can also assign a highlight colour so that it comes up as a different colour in the calendar for your members.
If there is a cost attributed to any consultation sessions, then you can add that here. Maybe it’s one credit. Maybe it’s none. Maybe there’s a purchase cost if it’s an additional. So, for example, your nutritional one, maybe actually cost them five credits, if they really want to use their credits or it costs, I don’t know, 20 quid, it’s up to you. But because it’s a progress review, this is gonna be included in my imaginary membership. And I’m gonna say it doesn’t cost them any credits and it doesn’t cost them anything to have one.
You have the option to allow pay as you go members if you wish. As this is a progress review, it’s probably not relevant.
And allow those without memberships, maybe they come on an ad hoc basis and they want a progress review. But again, I’m not gonna allow that, but it’s up to you what you select here.
You can then also select which memberships are valid for this. So maybe it’s only certain memberships that provide the progress review. So I’m gonna suggest that it’s my 20 session a month members and my platinum membership members. They get the progress review included with their and unlimited, let’s feel good, generous! And then you can select if there’s any session or event categories and it could be members only. It’s up to you whether you select that or not.
What you can also do in here, as you can apply a RoboNudge, which is essentially triggers that you will have preset, and I’ve got another video on how to create those, to remind your members of their session. So you might want to do a standard 24-hour reminder: “Don’t forget, you’ve got your progress review tomorrow. Check it in the app.”
So I’m gonna click Save.
I’ve done what I wanted to do. I’ve created it as I wanted to.
Chapter 2: Adding A Session To Your Schedule
Now I can add my schedule, so I can click Add, and I can say this is gonna happen on Mondays at 5:00 pm.
It happens at our Chelmsford venue, specifically for this one and it’s in our Rehabilitation Suite.
The maximum capacity is one, because it’s a progress review is quite private.
And then they always happen with Justin because he’s just incredible, I love it. I love it!
So I’m doing this weekly on a Monday so that people can request to book in as and when they wish for Justin. You might decide to create a different day, different time with different trainers or members of staff so that there’s more options available.
You can also create an ad hoc consultation session if you wish. I’ve shown you how to create ad hoc sessions in a separate video. So go ahead and watch that, and you can see how to do it.
But we’re gonna say that this one is a recurring starting from next Monday at 5:00 pm and it’s an hour long. It doesn’t cost any credits. It’s free for the member. And I can leave these unticked because I’m not allowing those without memberships or pay as you go customers because it’s for specific memberships only.
Again, guys, this is just for the sake of the demo. It’s completely up to you how you choose to set yours up, but I’m feeling generous and I’m gonna click Save.
Chapter 3: Review
So if we go to our schedule now and have a look at Monday, at 5:00 pm, we can see that we’ve got our progress review.
You can click in here and you can manage it the same as you would any other session.
You can edit it, manage attendees, do your roll call if you feel like doing that for one person, but might be worth doing, if there’s any medical information that you need to check.
Or you can view or edit bookings. This is where you would go to book a member onto this progress review.
So let’s say that Marge has requested this and we’re gonna book her on and we’re gonna add the member to the attendee list.
You can select whether they use valid credits because it’s zero credits, you could select credits, or you can select this as complimentary.
You can just say included in membership and then we’ll go to Finish.
And we’ll know that that member is booked on. You’ll then get an advisory that the session has reached its capacity, ’cause we’ve said this is only for one person.
