Hi, welcome to Quoox University.
In this video, we’re gonna talk about how you can create an ad hoc session.
So let’s go ahead and go straight to our Quoox Dashboard. We’re gonna go to my.Quoox.com. We’re gonna log in as always. And we’re gonna navigate over to our main menu on the left hand side, and we’re gonna go into our schedule.
Now, what you’ll see is your pre-booked or pre-scheduled, if you will, sessions that you will have created probably during your onboarding really, so that you have them all ready.
Chapter 1: Select A Time
But what we’re gonna do, is we’re going to select a specific time. So 12 o’clock for example, and we’re gonna right click on that time, and we’re gonna create a new ad hoc session.
Now, what this allows you to do is create the session within this pop-up window.
Chapter 2: Creating The Session
So you’ll see here that you’ve got that you can select the desired session types.
So it might be a session that you’ve already created, but you need to add an ad hoc version.
It might be that you’re doing a consultation, a rehabilitation session, or you might have nutrition consultations in that it could be anything.
So you’ve got all the options of the different sessions that you’ll have created everything from pop-ups to marketing. So maybe it’s a taster session that someone’s coming in for and we’re gonna give them a specific time.
We’re gonna do it in our Chelmsford branch at the main gym area.
And actually it’s gonna be this afternoon at four o’clock. And it’s going to be with Justin Credible, ’cause he’s my favourite.
Chapter 3: Amending A Session
So what we’ll do is we’ll click next and then we can amend our session details as well.
So, how long is the session gonna be: They get an hour.
What’s the maximum capacity: Well, if we’re doing it for one person, we’re probably gonna change that to one so that no one else can book on. But if you want to keep it as open and see if anyone else comes to that taster session, that’s completely up to you.
Whether you want a wait list available, and if there’s a purchase cost attributed to it, as it’s a taster session, it’s not.
You could put any additional notes in here as well. So, new member, walk in or called in even. Booked for taster session. And then you can finish and book.
Chapter 4: Session Actions Overview
So what that will do is bring up your sort of appointment details, if you will.
You can have all of the information that you need in terms of whether it’s a marketing session and doesn’t have any leads booked in.
You can then have your buttons available on the right hand side at the top.
- So if you add an attendee, you will be able to use these buttons to get in touch with them.
- So you can either conduct roll call, but for one person you probably won’t need to do that.
- You can check people in.
- You can process the wait list, if you had one.
- You can send a message to all attendees, or an email.
- And then you’ve got the options to download, save as a PDF or print as always.
All right. So that’s now been created.
Chapter 5: Recap
What you’ll see is down here at the bottom, we’ve got our taster session.
You can view and edit bookings as you would with any other session. And you can manage that here.
You can edit it, should you wish. If you decide that someone else is actually coming in, you can add someone, add an extra capacity.
So it’s completely up to you how you manage it, but it’s now in your diary and you’ve got the ad hoc session that you’ll have created.
You can also manage your attendees and do everything you normally can from the right click options.
