In this series of videos, we’re covering off frequently asked questions. And one we have is setting up free trials and ensuring that the credit packs are attributed to the free trials, and members don’t get loads of free credits at the end of it.
So I’m gonna run you through how to create a free trial, the do’s and don’ts, and how we can get that set up properly. So what we’re gonna do is we’re gonna start by going to our main dashboard at my.quoox.com. We’re gonna log in, and then if you’ve watched my previous videos both in the onboardings course and the frequently asked questions, you should now know how to create a membership and a credit pack.
If you don’t, please go back and watch those videos for a more detailed view on how to do that. But for the sake of this demo, I’m gonna assume that you’ve watched those and we’re gonna fly through how to create them for a free trial.
So you might be creating a free trial to entice new members. It might maybe be a free trial to specific sessions. It could be any reason that you want to create any kind of trial basis, really, but most trials run for a specific timeframe, right? So you’d want your credit pack that you attribute to it to run for the same timeframe.
So an example that I’ve come across recently is a three day free trial where you get X number of credits over three days. But the problem that a facility had is that they attributed a normal credit pack to it, which refreshed every 28 days or 31 days depending on how they set it up, and then after those three days, the members still had 20 grace credits, for example, to use, so they had free access to the facility. Not exactly what you want to be happening after a free trial, ’cause you want your members to be paying for that service.
So, let’s go ahead and create a free trial. We’re gonna start by going to our menu on the left, moving my head out of the way, and going into settings. Once we’re in settings, we’re gonna create a credit pack. We’re gonna add a new one, and we’re gonna call it three day free trial.
If you’ve watched my other videos, you’ll see that I’m banging the same drum, call your credit packs and memberships something that you will be able to remember, and make them clear so that when you go to linking them together, you know which one you’re adding, especially if you’ve got a large number of memberships and credit packs to do. So we’re gonna call this a three day free trial.
For that, we’re gonna give them three credits and they’re not gonna cost them anything because it’s a free trial, and we’re gonna give them a validity of a fixed period of three days. So that means that those credits will expire after three days.
Now, one thing worth noting is when the credits become valid is completely up to you with a free trial. You have two options here. You can either make them become valid immediately, so as soon as they’ve registered for the free trial, that’s when the three days start, or you could do it from first use. So maybe the three days commences after they’ve made their first booking, and then they have three days thereafter. So that’s completely up to you. I’m gonna do it immediately just for the sake of the demo, and I’m gonna make it valid for any venue ’cause then it can be for wherever they’re closest to, and I’m gonna make it valid for any session except for a one-to-one.
So because of that, I’m going to click all of the other sessions that it’s relevant for if I wanted to. You can see here that we’ve created trial sessions. It might be that you only want to have a trial session where maybe they get three PT sessions, three small group training.
It depends on what you’re advertising at the time, but this is just to show you that you can select which sessions these credit packs are attributed to for the free trial. So I’ve made my selections and I’m gonna click save.
Now, I’m gonna go ahead and create my membership so that that way they can sign up using a campaign, and I’m gonna call it a three day free trial. You can add as much of a description here as possible. It’s always good to add a description, so people know what they’re signing up for. Three days free trial with three credits to use. And then if you wanted to be specific about what sessions they could use it on, you could add that in here as well.
Just saves you getting any questions from people, and they know what they’re signing up for, and should hopefully continue through the process.
It’s a membership. And when the membership starts, again, is up to you. I would probably suggest that you’d use immediate or upon first booking if it’s a free trial. If it’s a specified date or on the first of next month, people might get deterred and don’t want to sign up ’cause they want to use it there and then, so I’m gonna use immediate again.
Now we have some other options which you may not use very often when creating regular memberships, but for a free trial, I’m going to tick that it is limited to one per member, so people can’t keep rebooking three free three day trials, and then basically never upgrading to a membership. You can also select that it’s a trial membership as well. So that’s completely up to you what ones you use, but I would recommend limiting it to one per member so that they don’t take the mick, basically, and then I’m gonna save that.
As always, that’s gonna bring up our payment plan and deliverables. So in a payment plan, we’re gonna add, it’s our three day free trial. Can’t type today either, guys. Trial. Again, you can copy and paste your membership description in here, so it’s worth having that lying around somewhere. Then you’ll see that we’ve got required information down here, so there’s the subscription issue period, and how many periods are in the membership.
So it’s going to be three days and it’s going to repeat once. Yeah, there’s no joining fee because it’s a free trial, and there’s no recurring payment because it’s a free trial, and it’s going to be scheduled once. We’re not gonna auto renew at expiry, because we don’t want them to auto renew a free trial membership, and we’re gonna click save.
Now we’re gonna go into deliverables, and this is where we add our credit pack if you remember rightly from our previous videos. So you can see here a large number of credit packs, hence why I’ve called it three day free trial. So I’m gonna add that, I’m gonna click the tick, and ensure that you click on save to make sure that it’s been saved properly.
Now we’ve created our three day free trial membership. So essentially, what that’s done is we’ve created a new membership that we can add to a campaign.
So that means that if you’ve got a promotion running on a landing page, under connect and promote, and campaigns, and then you’ve got taster session, for example, you can edit that, then you can edit what membership’s attributed to it. You can change it to a membership promotion. The default source is a campaign. And then you can add your three day trial, for example. But for now, we’ve created a new three day free trial membership with a credit pack only valid for three days, and a payment plan that has no cost against it, and doesn’t auto renew.
