Hi, welcome to Quoox University.
In this course of videos, we’re looking at frequently asked questions. And one that comes up a lot, is how do I add a guest to a session? So I’m gonna show you how to do that now.
So as always, we’re gonna start by going to my.quoox.com. We’re gonna log into our Main Dashboard. And what we’ll see here is a widget straight away that shows our forthcoming sessions. You can either select in here, or if like me, you like a calendar view, you can go to the left and click on schedule. And that will show you your sessions in a calendar view.
You can filter by day, week, month and also by which venues and areas. For this example, I’m going to add a guest to Industrial Strength. So what I’m gonna do is I’m gonna right-click on the session and I’m going to “View/Edit Bookings”. Now, here I can see how many members I’ve already got booked. I can also see how many spaces I’ve got left, so I know that I’ve got space to be able to book a guest member.
So what you’ll see is at the top, you’ve got “Book a Member” in green, that’s for existing members. And then next to it you have this cute little button for booking a guest attendee.
So you click on that button. And in the same box, you can then add their information. So we can say that Jessica Pitts-Brennan, [email protected] and mobile number. And then if they have their emergency contact details, you can add that here. Highly recommend doing that. It may be an existing member, so if they are guest of Abigail’s, for example, you could add Abigail Driscoll here and any notes you could put in why they have a guest membership for this session. So it could be, guest pass, referral of Abigail for example. (And use capitals on names, guys! Jeez, that’s me!) Right. As always, if you want to save the changes you’ve made, you need to click on the tick on the right-hand side under actions.
And you’ll see that, that has now added our guest member to the booking. And you’ll be able to make any actions as always on the right hand side.
So you can mark them as whether they attended or no show. As we’ve got their email and mobile number, we can send them information. So maybe, it’s where to go for the session. We can cancel the booking, or we can edit the guest information.
Now that we’ve added them to the booking, they will also come up in roll call at the beginning of the session, should you use this function.
