Hi guys, welcome to Quoox University.
In this video, I’m going to show you how to add a membership to a member’s profile.
So as always, we’re going to start by going to my.quoox.com. We’re going to login into our main dashboard, and then we’re going to navigate over to the menu on the left-hand side. We’re going to go down to manage and into members.
So let’s say we’ve got a new member, Franklin. He’s currently on a pay as you go. So no memberships attributed to his account, but we want to add him to one. W
e’re going to click on the memberships tab and then we’re going to go to the top. And on the right-hand side, we’re going to click add membership. So we have five stages to do this. It’s all quite self self-explanatory if you will, but we’re going to go through it step by step together.
So first is to select a membership. So as you can see on this demo account, we’ve got a number of memberships. I’m going to go with 4x sessions a month because that’s what they’ve signed up for. And it’s a monthly plan, so that’s the only option on the dropdown. And then we’re going to click next.
So details is where you can make changes to the default memberships options that you would have created when you, when you set up the original plan. So for example, it’s every one month, and we’re going to repeat it for 12 months because they’ve signed up for a 12 month agreement. And then you can specify any fees.
So, there’s no joining fee currently attributed with this membership, but maybe you have stopped that promo, or you want to add a membership joining fee here. And then you’ve got the general [recurring] membership fee that will come out every month for the customer.
Then you have the commencement date. So you’ve got the options of immediate, upon first booking, the first of the next month or on a specified date. So I’m going to leave it as immediate because that means their membership will start today. And I’ll show you how that then prorates the amount that that will be owed by the customer, which is, which is handy. We have the three tick boxes at the bottom.
Auto renew expiry, issue grace credits and add nurturing programs. I’d recommend you leave those ticked. Obviously they’re really useful to have, if you want to untick them, it’s completely up to you, make it work for you and your business.
So now we’re going to go over to the next stage, which is payment. It’s really worth noting here that if they haven’t set up their payment details, whether it be card details with Stripe or Direct Debit details with GoCardless, the options will not come up.
So as a prime example, we’ve selected credit or debit card, but on the dropdown, there is no option to select a card because it hasn’t been added. There’s also no option on the others at the bottom for direct debit because no mandate has been submitted. So please do try and get your customers and members to upload their information as soon as possible. So we’re going to go through to confirmation.
The commencement date, and it gives you essentially, it gives you a breakdown, a summary of what’s owed and when the next payment will be. So we can see that the membership’s going to start today. There’s no joining fee attributed to this membership.
There’s a membership payment due, which will be the prorated amount because we started the membership today. But the payment schedule starts on the first of each month, which is when the next payment will be due. And then it confirms here that if you proceed now with the prorated amount, you would now take a payment of £24.35 from the member.
So this is where, as I mentioned a minute ago, it’s really important to have the card details set up at a minimum, because then you can take that payment. When we click next to finish, you’ll see that the membership has been created. If the member paid by card, the transaction was successful. Any credits or grace credits will have been allocated as per the membership rules that you created upon making the membership plan.
If you haven’t gone through that stage yet, please go back to creating a membership video. You can do that with me in a step-by-step. Otherwise we’re going to continue and click finish, and you’ll see that that membership has been added to Franklin’s account.
