So in this course, we are looking at frequently asked questions and on this video, we are going to focus on adding a new session type.
I am also going to cover two different scenarios. So we can go through those. They’ll be chaptered on the video, so you can select which one’s most relevant to you. But as always, we are going to start by going to my.quoox.com And we’re going to log into our main dashboard.
Now, when you add a new session type, if you’ve created it from scratch or it is already existing in your system, you need to add it to a credit pack for your members to be able to book. So we are going to go down to settings in the menu on the left-hand side. And we’re going to go to sessions and events in here you are going to see all of your sessions that you’ve created. If you’d like to see how you add a session, I’d go back and watch my creating session video, but for the sake of this demonstration, we’re going to use when we’ve already created, but haven’t added yet.
So to do that, we’re going to stay with our secondary menu and we’re going to go into credit packs. We’re going to go into the credit pack that we wish to edit.
So let’s for example, say that we want to go into the 10 one-to-one credits. We’re going to click on the pencil to edit. And if you scroll down, you’ll see that you’ve got the option to select which credits the sessions are valid for.
At the moment, it’s just one-to-one sessions, but let’s say actually we’ve added yoga sessions that are also included so that everybody can have a good stretch after a PT session. So we’re going to call that our rehabilitation session. We’re going to tick that box. We’re going to update the session and venue validity for existing credits. Keep that ticked. And we’re going to update.
It’s really important that you do this when you’ve created a new session and you want it to be available to members with specific credit packs. Okay. That’s scenario one.
Scenario two, is if you’re creating a new credit pack, you have to remember to add it to the membership that you wanted to be associated to. So let’s go into a member or a membership, and let’s say that we want to add a new credit pack to the four sessions a month membership.
What we’re going to do is we go to membership plans or run through that again, four sessions a month, for example, click on the pencil to edit. And then we go to our overview page. We’re going to click into deliverables and you’ll see here at the very top that we have the option to add more credit packs.
So let’s go ahead and add a credit pack. We’re going to select which credit pack we want to add. So maybe we’re going to give them 10 one-to-one credits on top of their four credits that they might use for any session Now, because we’ve added that to an existing membership where members are currently attributed to it, it will not update immediately. The way this will work is that the effects will take place when the new grace credits have been applied.
So let me try and talk you through this in a way that makes sense. If we’ve added this credit pack halfway through the month and the members are making their next payment on the first of the month, the new credits on the first of the month won’t include the change. However, the grace credits will. So the customer will be able to book in advance utilising the grace credits for the new 10 one-to-one credit pack that we’ve just added, but they won’t be able to use it for the credits that they’ve had migrate from grace credits last month and move over into their current credits because they’re already existing.
If you need to add those new credits to existing members immediately, we need you to log a ticket by your Quoox platform or go to support.quoox.com. And then you need to tell us exactly what you need us to do with those credits.
Bear in mind that if this is happening halfway through the month, we can’t just turn on the new credit pack, because that means that they might get half a credit or five and a half credits from the new credit pack. You can’t book half a session. So you need to be clear on what changes you want made from what date and to what credit pack a membership, so that we can do that second line support for you.
