In this video, I’m going to show you one of our newer features, which is the Bulk Import feature that’s been added to the system.
So to get to that feature, we’re going to go ahead and go to the Main Menu on the left-hand side, we’re going to go into Settings and as always, that brings up our secondary menu, now, within that, you’ll see the new option of Bulk Import near the bottom.
So we’re going to click into there, and as always, you’ll have a description of how to use it, what you can and can’t do within the system. But we’re going to go through that together now.
So with the new Bulk Import feature, there’s actually three jobs that you can do within here.
Okay, you can bulk import members.
You can bulk import leads and you can also send welcome emails to all of your members.
Now for a bulk member or lead import it’s very straightforward. It will bring up the source file select option, and it will let you select a group that you can add the members to if you want to.
So maybe you’ve had loads of people come from a campaign or walk-ins, and maybe you want to create a walk-in group, and then you can send any communications out to said group as you’re working through the system. So that’s how you can do the bulk member import.
Now, if you don’t have the member import template document, you can click on this hyperlink here, and that will take you to our Knowledge Base page, where you can get and download the template and upload your members into that, okay.
What you’ll see underneath is that you’ve got an Import Job History.
Now this is the same for your Lead Import History as well. Again, very similar function. You can’t add the leads to a group because they’re not members yet, but you can select a file, IE, your Lead Import template file and add them into the system.
Okay, once you submit the job, give it a few minutes because obviously depending on how many members or leads you’re adding, it might take a little while to upload them and you can always refresh the job history to see once that’s been completed.
Now, the system works in a very clever way in that it will tell you if it’s been completed fully or completed with errors, as you can see here, so you can select the dropdown.
You can either view the process log. So if I view the process log with the errors, it will see that there’s a error in the field value, for example, so you can go and see what the issue is within your document before re-uploading.
And then if we’re looking at members that we’ve added, you can also send your welcome emails directly to that new group of members that you’ve added. So it doesn’t have to go to everybody again, it just goes to those that you’ve recently uploaded, which is really, really useful.
So you can do that from within the Bulk Import Job History. But you can also do it through Send Welcome Email To All Members.
So what you can do is, as I say, send it to all of your members in the system should you wish. If this is your first member import, get everybody into the system, you’d probably do it this way.
Otherwise you’ve got your Job History again here, and you can view the process logs and you can send the welcome emails to specific member groups that you might’ve uploaded.
